Purpose

This policy outlines the procedures and security measures for processing card-not-present (CNP) transactions at ADE-OBI FOODS. CNP transactions occur when the cardholder is not physically present during the transaction, typically for online, phone, or mail orders. This policy aims to ensure the security, accuracy, and compliance of all CNP transactions, minimizing the risk of fraud.

Scope

This policy applies to all employees, contractors, and any third-party vendors involved in processing CNP transactions, including credit cards, debit cards, and other forms of electronic payments.

Cardholder Information Security

To protect cardholder data, ADE-OBI FOODS follows strict data security guidelines:

  • PCI Compliance: We comply with Payment Card Industry Data Security Standards (PCI DSS) for all cardholder information.
  • Data Encryption: All payment data is encrypted during transmission to protect it from unauthorized access.
  • Data Storage: We do not store sensitive cardholder information, such as full card numbers, CVV codes, or expiration dates unless explicitly required for legitimate business purposes and securely protected.

Authorized Payment Methods

CNP transactions may only be processed using the following authorized payment methods:

  • Credit or debit cards (Visa, MasterCard, American Express, Discover, etc.)
  • Digital wallets (e.g., Apple Pay, Google Pay)
  • Other secure payment methods as approved by management

Fraud Prevention Measures

To minimize the risk of fraud, ADE-OBI FOODS utilizes the following fraud prevention measures:

  • AVS (Address Verification System): The billing address provided by the customer is verified against the card-issuing bank’s records.
  • CVV Verification: The CVV code (Card Verification Value) is required for all transactions to ensure the cardholder authorized the transaction.
  • 3D Secure Authentication: For all our customers using Visa or Mastercard, 3D Secure (e.g., Verified by Visa or MasterCard SecureCode) will be used for additional authentication.
  • Transaction Monitoring: All transactions are monitored for suspicious activity, including multiple declined transactions, unusually large purchases, or rapid-fire transactions.

Transaction Approval Process

To process CNP transactions securely and efficiently:

  • Order Confirmation: All orders will be reviewed for accuracy before processing. Customers will receive a confirmation email after their order is successfully placed.
  • Transaction Review: An additional manual review may be required to confirm the legitimacy of high-risk or high-value transactions.
  • Payment Authorization: Payments will only be processed once the payment processor has authorized the transaction.

Refunds and Chargebacks

Refunds and chargebacks are handled with the following procedures:

  • Refunds: Refunds will be processed according to our Refund Policy and credited back to the original payment method used for the transaction.
  • Chargebacks: In case of a chargeback, we will respond promptly to all inquiries from the payment processor and provide necessary documentation to support the transaction. Repeat chargebacks may result in the suspension or termination of services to the customer.

Customers acknowledge that they have read, understood, and agree to comply with the terms outlined in this policy by proceeding with a transaction, creating an account, or using our payment system.
